Your Two Free Wedding Checklists for Denmark — Document Checklist + Wedding App

Most international couples planning a Denmark wedding discover us via one specific tool — the free personalised document checklist. What they don't realise yet is that we offer a second free checklist later in the journey: a digital wedding-planning app delivered to both partners after document submission. This guide explains both, when each kicks in, and why this two-step system exists.

The Two-Checklist Framework

A Denmark wedding splits cleanly into two phases — legal admin and lifestyle planning — and DWS provides one purpose-built free checklist for each.

  • Phase 1 — Physical Checklist (the document checklist) — Free for everyone. Tells you exactly which documents YOU need based on your situation. Delivered by email + downloadable PDF. Use it BEFORE booking with us.
  • Phase 2 — Digital Checklist (the wedding app) — Free with the Comfort Package. Tracks your timeline, vendors, document submission status, and chat with our team. Delivered to BOTH partners as separate logins after we receive your documents.

Neither competitor in the destination-wedding market (GMID, weddingindenmark.dk, marryindenmark.com) provides this dual system. Most offer a single static PDF. Ours adapts to YOUR situation, lives across two phases, and treats both partners as equals.

Phase 1 — The Physical Checklist

This is the tool that answers: *"Which documents do WE — specifically — need for our Denmark wedding?"*

It's a 6-step web form that asks about both partners — citizenship, country of residence, marital status, whether you have children together. The form takes about 60 seconds. Smart branching means a Russian-Italian binational couple gets a different list than a German-British couple, and a divorced partner gets the apostille-decree section a single partner doesn't see.

What you receive after submitting:

  • Email confirmation within 60 seconds — addressed by name ("Dear Anna & Marco") with the personalised document plan
  • 3 print-and-sign forms attached to the email — Service Contract, Power of Attorney, Truth Declaration (the legal admin paperwork)
  • Personalised document list — sectioned by partner, with country-specific guidance (e.g., Germans get the *Erweiterte Meldebescheinigung* note, US citizens get the apostille-by-state guidance)
  • Downloadable PDF checklist — same content as the email, formatted for printing or sharing with your partner via WhatsApp
  • Secure upload portal link — when you're ready, you upload each document directly to us via the magic link in the email; no email-attachment back-and-forth
  • A short summary table at the bottom of the email — your answers verbatim, so you can verify what we have on file and self-correct if needed

Why we built it this way: the alternative — a static "documents required" PDF — over-promises *and* under-delivers. Over-promises because it lists every document any couple might need (most don't apply to you), under-delivers because it misses the country-specific nuances that actually trip applications up. A personalised checklist tells you exactly what YOU need, in the language you understand, with the country-specific notes built in.

The Physical Checklist is free for everyone — no booking required, no Comfort Package commitment. Many couples use it during the discovery phase weeks or months before they decide to book. That's the point: we want couples to know what they're getting into before they spend a euro. If our personalised list shows your situation is straightforward, you'll feel confident booking. If it's complicated (Iran or China apostille, for instance), you'll know to call us before flights are booked.

For the underlying document rules — what each document is, where to apostille it, expiry rules — see our Danish wedding documents complete checklist which feeds the same data the personalised checklist uses.

Phase 2 — The Digital Checklist (the Wedding App)

This is the tool that answers: *"How do we actually plan our Denmark wedding day?"*

The app is provided free with the Comfort Package (€800) as soon as you have completed the Physical Checklist and submitted your documents through the secure upload portal. Crucially, both partners receive separate access — Partner 1 and Partner 2 each get a personalised email with the app download link and login credentials. This matters because:

  • Wedding planning is a two-person job; one partner shouldn't be the gatekeeper to all the information.
  • Updates from our team appear in both partners' apps in real time — no "did you tell the team yet?" friction.
  • Document tracker, vendor messages, and venue notes are seen by both equally.

What the app contains:

  • Personalised timeline + checklist — auto-adjusted to your wedding date, showing what's done and what's pending
  • Document tracker — see exactly which documents have been received, are under review at Familieretshuset (the Danish Agency of Family Law), and which are pending
  • Verified vendor directory — photographers, hotels, restaurants, florists we've personally worked with — filterable by city, language spoken, style, and price band
  • In-app chat — direct line to your assigned DWS planner. Typical reply time under 4 hours on weekdays
  • Map-based venue explorer — Copenhagen, Aabenraa, Tønder town halls and partner venues with photos, capacity, and earliest available dates
  • Add-on services — apostille, certified translation, date change requests — all bookable in-app
  • Multi-language interface — English, Deutsch, Русский — both partners can use the language they prefer, even if different
  • Push notifications — only for things that need your attention (AFL approval, vendor responses, document deadlines); no marketing pushes

The app works offline — your checklist, documents, and saved vendors are cached locally so you can review them on a plane or anywhere without signal. Chat and live vendor messaging require a connection.

The Email Each Partner Receives

After you submit your documents through the secure upload portal, both partners receive an email within minutes. The email contains:

  • A welcoming message addressing both partners by name
  • The app download link (App Store + Google Play + web version at app.denmarkweddingservices.com)
  • Your unique signup credentials — username and a one-time setup link
  • A 5-minute setup walkthrough video (optional, in your language)
  • A direct WhatsApp number for any setup issues

Why both partners get separate emails: so each partner can sign in on their own device(s), keep their own notification preferences, and contribute equally. The two accounts are linked behind the scenes — both see the same shared timeline, document status, and vendor list — but each partner's interaction history (which messages they sent, what they marked as done) stays attributed correctly.

The Two Checklists in Sequence — A Typical Couple's Journey

Here's how the two checklists fit into the full wedding journey:

  • Week 1 (discovery) — You find DWS via a blog or YouTube. You complete the Physical Checklist in 60 seconds. You receive your personalised document email + PDF. You start gathering documents at home.
  • Week 2-3 (decision) — Reading the personalised list, you realise the Denmark route is simpler than expected. You book the Comfort Package through our website.
  • Week 4 (document submission) — You upload documents via the secure portal link. Within minutes, you and your partner each receive the Wedding App welcome email with download link + credentials.
  • Week 5-7 (active planning) — You both use the app to chat with our planner, browse vendors, finalise the ceremony venue, and watch document approvals tick green as Familieretshuset processes your application.
  • Wedding day — Ceremony at Copenhagen / Aabenraa / Tønder town hall, photos, dinner, marriage certificate in your hand the same day.
  • Post-wedding — The app remains available for apostille tracking, certificate delivery confirmation, and any name-change administrative support you might want.

Comparison Table — Physical vs Digital

  • When: Physical = before booking · Digital = after document submission
  • Cost: Physical = free for everyone · Digital = free with Comfort Package booking
  • Format: Physical = email + PDF · Digital = native iOS / Android / web app
  • Recipients: Physical = whoever submits the form · Digital = both partners separately
  • Purpose: Physical = legal admin (what documents to gather) · Digital = lifestyle planning (timeline, vendors, chat)
  • Updates: Physical = static once received · Digital = real-time sync with our team
  • Languages: Physical = EN / DE / RU · Digital = EN / DE / RU

A Real Couple Using Both Checklists

H & I (July 2025) — Hungarian-Italian couple living in Vienna. H found DWS via a wedding-cost blog and completed the Physical Checklist on a Tuesday evening. The personalised email arrived with the document list, the 3 attached forms, and the PDF for I to review on his lunch break the next day. They identified two pain points from the list — H's Hungarian divorce decree needed an apostille (4-week wait), and I's Italian birth certificate needed a fresh copy from his comune. They booked the Comfort Package the following Monday. Within an hour of uploading documents (by which time H had her apostille in hand), both H and I received their Wedding App welcome emails in their respective languages — H in Hungarian-leaning English, I in Italian-leaning English. Over the next 6 weeks, they used the app to: review and book a photographer (€1,400), confirm Aabenraa for the ceremony (closer to Vienna by car), schedule a sunset dinner at Restaurant Knapp, and watch their document approvals all turn green. Wedding day: 14 September 2025. Total time from first checklist click to marriage certificate: 9 weeks.

Without the Physical Checklist, they'd have spent another 2-3 weeks googling "do we need apostille" and "what is Erweiterte Meldebescheinigung". Without the Wedding App, they'd have spent the planning phase in a 47-message email thread that nobody could find anything in. Two checklists, one journey, both free.

The Honest Negative Cases

  • The Physical Checklist isn't a substitute for legal advice. For genuinely complex situations (asylum status, legally subsisting marriage in another jurisdiction, stateless persons), the personalised list will say "we recommend a 1:1 consultation" and route you to our team rather than auto-generating a list.
  • The Wedding App requires a Comfort Package booking. It's intentionally not free-tier-with-paid-features. We use it as a real working tool with our team, so we only enable accounts for couples we're actively servicing.
  • The two checklists don't replace human contact. Both are designed to make your time with our planner more productive, not to remove human contact altogether. The app's chat is staffed by real people from our team.

Frequently Asked Questions

"Can I use the Physical Checklist without committing to anything?" — Yes. It's anonymous (only your email and the answers you typed), free, and we never spam. Most couples use it 4-8 weeks before deciding to book.

"What happens to my Physical Checklist data if I never book?" — Stored for 90 days then auto-deleted. If you book within that window, your checklist data pre-fills our internal records so you don't repeat questions.

"Can my partner fill out the form for me?" — Yes. The form just collects facts; either partner can answer for both as long as the facts are correct. The personalised email always addresses both partners by name.

"Why does each partner get a separate Wedding App account?" — Because wedding planning is a two-person job. Each partner gets their own device, notifications, and chat history, while sharing the same timeline and document state.

"Does the app work on Android?" — Yes, plus iOS, plus web. All three stay in sync.

"What language is the Physical Checklist email in?" — Whichever language you submitted the form in. EN / DE / RU all supported.
